The hotel stays in control of money
Guests pay at the desk in cash, UPI or card. QR self-bookings arrive as requests that staff confirm only after checking the ID and taking payment.

GST rates, invoice numbering, credit notes and encrypted ID storage are built into the product, along with consent, export and erasure tools that help a hotel meet its duties under India's DPDP Act.

Guest KYC vault
Aadhaar and ID photos captured at check-in, encrypted at rest and masked from junior staff. Printed documents show only the last 4 digits.
OTP check-in
An optional one-time password to the guest's phone verifies identity before check-in.
GST invoicing
CGST and SGST by slab, sequential invoice numbers per hotel, credit notes, room-wise splits, PDF invoices and receipts.
Payments and collections
Cash, UPI and card recorded at the desk, with advances, balances due and a daily cash-up by payment method.
QR self-booking
A desk QR shows tonight's free rooms. Guests submit their own details and ID, and staff confirm.
In-room QR
Shares the WiFi and takes cleaning, amenity and maintenance requests. It switches off at checkout.
Housekeeping and maintenance
Dirty, clean, inspected in one tap, and issues tracked per room so broken rooms are not sold.
Banquet and function halls
Enquiry-to-payment flow for weddings and events, with double-booking prevention and a GST tax gate.
WhatsApp messaging
Booking confirmations, OTPs, receipts and owner alerts sent on WhatsApp.
Reports
Occupancy, revenue, GST, collections, outstanding balances, expenses and a daily day book, all exportable to CSV.
Staff roles and activity log

The hardest problem was making one system safe for many hotels: one hotel must never see another's guests, invoices or ID documents.

Every request is resolved to one hotel before it touches data, and the API then filters every query by that hotel.
Tenant isolation as rule zero
Every business record carries its hotel's ID and every query filters by it. A 208-item tenancy audit drove the conversion, and a two-hotel suite of 35 tests tries to read and write across hotels on every run.
Per-hotel numbering
Invoice, receipt and credit-note numbers run in sequence per hotel, as GST requires, instead of one global counter.
Encrypted identity data
ID numbers are encrypted with AES-256-GCM, ID images sit in private storage, and staff see only what their role allows.
Safe money paths
Payment and invoice writes are idempotent, so a double tap or a retry never charges or bills twice. All dates follow the hotel's local day.
GST tax gate
A banquet hall cannot be confirmed or invoiced until the hotel's accountant sets the tax rate, so no invoice goes out at a guessed rate.
Built for the real desk
Phone-first layouts with a bottom tab bar, and a UI in 13 languages, so staff who do not read English can work in their own script.

Where it started
Born at a real front desk
Stayvia started as the single-property front desk we built for SLDT Stay Inn in Sabbavaram. In July and August 2026 we rebuilt it as multi-hotel software: every hotel gets its own isolated data, document numbers, settings and branding.
